Licensing and Contracts Co-ordinator

The Role

Our people can be based “where they do their best work” from either our HQ or from their home (UK based only / VISA sponsorship available on qualifying roles). However occasional travel to HQ office will be required for key meetings and events.

Our studio is situated in a river-front building in the heart of the Historic Dockyard in Chatham, Kent, UK. We are growing fast, developing our games using cutting-edge technology and delivering these on multiple platforms: PC, PlayStation 4 and 5 and Xbox One and Series S/X.

We are looking for a Licensing and Contracts Co-ordinator to work closely with the Third Party and Development teams on the licensing of Dovetail Games products. 

This role we consider as either Full-Time or Part-Time (30 hours).

Responsibilities

  • Draft NDAs in line with requests from Third Party and Development Teams ensure NDA database is kept up-to-date.  
  • Coordinate the electronic signing via DocuSign of all agreements and NDAs.  Where DocuSign not used, coordinate scanned/ postal signing.  
  • Minute and circulate weekly third party, and trains meetings. 
  • Draft Publishing and Contractor agreements in line with requests for Third Party and Development Teams. Ensure third party and contractor databases are accurate and up to date.  
  • Ensure all agreements are accurately filed and indexed on the network and on DocuSign.   
  • Update database for weekly releases as required and add any new royalty percentages that are agreed for new licences and developers.  
  • Request game codes for Licensors when content is released, in line with agreements.  
  • Check third party content for licensing concerns and liaise with third party team to address any issues.  Work with Line Manager to ensure content is ready to be sent to Licensors for approval. Upload all approval images to OneDrive and update on Planner.  Keep approvals tracker up to date. 
  • Create Monthly Licensing Express document for Teams, based on information provided by Head of Licensing and Contracts. 
  • Support Business Development Director with work on China releases and assets.  
  • Support Line Manager with access enquiries, research on licence requests, and other licensing and contract matters as required.  
  • Support L&C Executive and Head of L&C as required.
